Venue General Information

(a) The Village is open to the public Tuesday thru Sunday from 1pm to 5pm and closed on Mondays. In the event that you have rented The Village during normal business hours, The Village will be closed to the public.

(b) Vendors will be able to start setup and/or deliver to The Village the day before from 1pm-5pm or the day of beginning at 8am. Any other time outside of the designated times will require an additional fee.
(c) Brandy Low, The Pioneer Village Venue Coordinator, will be your main contact person. Brandy will help you control your event from conception to clean up and is available for questions at any time. Brandy will be present at The Village the day of your event to make sure everything runs smoothly, efficiently and will help handle any issue that may arise. Basically, any wedding day logistics such as giving vendors access to the site for setup and breakdown, help setting up tables and chairs if rented, ensuring the power and plumbing works and cleaning the space before and after the event, you can count on Brandy. There are times that it is necessary for Brandy to communicate with other Vendors of your event in order to coordinate.

Venue Rules, Regulations & Information

The Pioneer Village is a public non-profit historical organization. Therefore there may be certain restrictions or limitations when renting our grounds that do not apply at traditional venues. We have stricter rules and designated areas for certain events in order to minimize any damage that could happen to our historical artifacts and mementos.

The following is a list of rules and regulations to be upheld by the client, which also includes all event planners, event coordinators, and/or vendors who are involved in the planning and execution of your event on the premises of The Pioneer Village.

1) RULES:

(a) The Village Venue Coordinator and/or an on-site Pioneer Village representative will be on site for all decorating, event activities, and clean-up and has full authority to make decisions regarding use of The Village, including but not limited to cancellation of the event if rules are not followed.
(b) Parking may be outside the back gate in the parking area or in the parking lot by the front gate. For unloading supplies or deliveries, a vehicle may be driven into The Village, but must be removed as soon as possible. There are two entries and parking areas; one handicapped accessible (Harwood Road) and the other through the lighted trails (Highway 183).

(c) NO FIRES ALLOWED
(d) Absolutely no one is allowed to move or work on the lights that are provided around The Village. They will be turned on by a Village representative. If there is a desire to have more lighting it will need to be approved by Venue Coordinator and provided by the client

(e) All candles must be contained or enclosed in glass.
(f) No nails, screws or other destructive methods of displaying decorations may be used. All decorations must be removed without leaving damages directly following the departure of the last guest.
The use of birdseed, bubbles, and natural floral pedals are permitted for wedding and reception farewells. Confetti, artificial flower petals, glitter, fireworks, and sparklers are NOT allowed anywhere in the Village.
(g) All music MUST end by 11pm to comply with sound ordinances.
(h) All children MUST be supervised at all times. The client is responsible for any damage caused by children or other guests.
(i) Any photography or video taken by anyone involved in your event or by our Staff at your event may be used by us on our website, social media pages or for our portfolio for promotion of venue.
(j) The Pioneer Village and its representatives assume no responsibility for any property brought into The Village. 
(k) Any furniture belonging to The Village that is moved during the event, MUST be returned to its original space. If not, we will have to hire someone to move the furniture back and you will be responsible for the charges.
(l) All events must end by 11pm with clean-up to be completed by 12am. If cleanup cannot be accomplished by 12am, you may elect to tear down the next day for an additional fee. This must be done by 12pm the next day.
(m) Any employee or volunteer may access The Village at any time. If maintenance or repair issues arise during the use of The Village, please immediately notify the venue coordinator.

3) INCLEMENT WEATHER:

The Pioneer Village is an outdoor venue and has limited indoor gathering area that is heated or cooled. Please discuss a backup plan with the venue coordinator.

4) DATE CHANGES:

If the client is forced to change the date of the event, every effort will be made by The Pioneer Village to support the new date. Any additional expense incurred by The Village will be paid by the client. The client will also accept the fact that date changes may affect quality of event.

5) CANCELLATIONS:

If cancellation occurs at least thirty days prior to the event, deposits will be refunded. After that time, the 50% deposit will be non-refundable. If the cancellation is due emergency conditions or events beyond the control of The Village the entire deposit will be refunded.

6) SECURITY

If alcohol will be consumed on The Village premises, a security officer is required and hired by The Village. The fee is $25 per hour.
